CRM & pipelines
Activity timeline
What gets recorded against a contact, and where it comes from.
A chronological customer history
Open a contact and select Timeline to see its recorded activity, newest first and grouped by day. Systemly shows the latest 50 entries. Each item has a type, title, time, optional detail, and the responsible workspace member when one is known.
What appears automatically
Contact changes
Contact creation, profile updates, and tags being added or removed.
Conversations
Inbound and successfully sent email or SMS linked to the contact.
Forms
Mapped form submissions and their submitted values.
Appointments
Bookings and cancellations linked to the contact.
Pipeline
Opportunity creation, stage movement, wins, and losses.
Payments
Successful payments linked to the contact.
Automations
Workflow enrolment and supported messages sent by a workflow.
An event appears only when Systemly can identify the contact. Provider activity without a linked contact remains in its own module rather than being guessed onto a timeline.
Add a manual note
- Open the contact record and stay on Timeline.
- Write the note in Add a note about this contact.
- Select Add note.
Notes support up to 5,000 characters and record the author and time. Use a timeline note for a dated interaction or decision. Use the contact's general Notes field for standing information that should remain in the Details panel.
Last activity and list sorting
Adding a timeline event updates the contact's Last activity value. Sort the CRM list by Last activity to bring recently touched contacts to the top or find records that have gone quiet.
Who can see and add activity
View contacts permission is required to open the record and timeline. Edit contacts permission is required to add notes or change tags and details. Other modules apply their own permissions when someone opens the linked conversation, pipeline, appointment, or payment.
