Account & data
Your data
What we store, exporting it, and deleting it.
Understand what is stored
Your account includes your name, email, timezone, avatar, membership and sign-in details. Workspaces hold the business records your team adds, such as contacts, conversations, appointments, forms, posts, and automations. Those workspace records belong to the organisation, so access to them depends on your role and permissions. The Privacy policy explains how Systemly handles personal information and where it is stored.
Download an export
- Open Settings → Profile & security in the relevant workspace.
- Under Your data, select Export my data.
- Tick the datasets you want under Your account and Workspace data, then select Download zip.
The zip holds one JSON file per dataset you ticked, plus a README.json listing what is inside. Your account datasets are always available to you: profile and memberships, sign-in history, and your AI conversations in the current workspace.
Workspace data belongs to the organisation, not to you personally, so the picker lists only what your role lets you take. Each workspace dataset needs the Export workspace data permission as well as permission to read that type of record. Staff and above have export permission by default; the Client role does not. Switch workspaces and repeat the export for data in another workspace.
Contacts, Companies
Needs contact export permission. Up to 10,000 each.
Pipeline deals
Up to 10,000.
Inbox conversations
Up to 2,000 conversations, 500 messages in each.
Bookings, Form submissions, Social posts
Up to 10,000 each.
Automations
Up to 1,000, each with its latest version.
Schedule account deletion
- Export anything you need to keep first.
- In Your data, review the list of organisations you alone own.
- Type your account email to confirm, then select Delete my account.
The request signs you out everywhere and schedules deletion for 30 days later. To keep your account, sign in during that period and select Keep my account on your profile page. After deletion runs, the account cannot be restored through this control.
If you are the only owner of an organisation, deleting your account also deletes that organisation, its workspaces, and their records. Assign another owner before requesting deletion if they must remain. Business records in an organisation that has another owner remain with that organisation; your account is detached from them.
Ask about your data
For a privacy request, correction, or an export that the built-in download cannot cover, email privacy@systemly.com.au. Include your account email and identify the workspace if the request concerns business records. Do not send passwords, API keys, or recovery codes. For a record about one of your customers, the organisation that collected it is responsible for deciding how to respond.
