How Agencies Can Manage Multiple Clients Without Mixing Their Data

Use separate workspaces, intentional membership and clear routines to organise agency client work and keep access appropriate.

When an agency starts with a few clients, it may be tempting to keep every contact and conversation in one shared spreadsheet. As the client list grows, that makes it easier to message the wrong person, expose a record to the wrong team or lose track of who owns the next step.

Start with a structure that keeps client records and staff access clear.

1. Give each client a distinct workspace

Treat a workspace as the home for that client's contacts, pipeline, forms, calendars and conversations. Keep the client's name and business details current so staff can recognise which workspace they are using.

2. Invite only the people who need access

Add team members to the right organisation or workspace and choose a role that matches their responsibilities. Give clients access only when you intend them to use the platform, and use the client role and permissions designed for that purpose.

3. Keep agency sales separate from client delivery

Your own prospective customer belongs in the agency's sales process. A client's leads belong in that client's workspace. Avoid copying customer records between them unless there is a clear business reason and permission to do so.

4. Set a repeatable onboarding checklist

For each new client, confirm the workspace, brand settings, team members, connected providers, forms and pipeline stages. Check that the correct people can view the workspace and that an unintended user cannot. Record who owns support and integrations.

5. Review access when roles change

When an employee changes accounts or leaves, update their workspace memberships. Review connected provider accounts and client access as part of offboarding. A clear process prevents old access from quietly lingering.

6. Check the setup with a real user

Ask a staff member to open the client workspace and find a test contact. If clients have access, ask a client user to do the same. Confirm the records and actions they can see match what you intended.

Systemly is designed around separate agency client workspaces with role-based and individual permissions. Server-side membership checks control access to workspace records. Read the team roles guide and client access guide before inviting client users.
