From Enquiry to Appointment: A Simple Workflow for Service Businesses

Connect a public enquiry form, customer record, sales pipeline and booking page so your team can see the next step.

A prospective customer fills in a website form. The team needs to understand what they want, reply and book a suitable time. If each step sits in a different tool, the enquiry can lose its owner along the way.

Here is a straightforward workflow for a service business.

Step 1: Make the form easy to complete

Ask for a name and a way to reply, then collect only the details that help the team respond. Map the form fields to customer information and label the form clearly, such as “Initial consultation request.”

Step 2: Record the enquiry

Configure the form to create or update a contact and record the lead source. If you want sales tracking, choose a pipeline for the form to open an opportunity in. Systemly records the submission and can notify the team at configured email addresses.

Step 3: Assign the next action

Use the submission notification or a configured workflow to bring the enquiry to the right team member. Add a stage such as “New enquiry” so the team can see work that still needs attention.

Step 4: Offer a booking page

Share a booking link in the follow-up or include it on the form's success page. Set the calendar's availability, buffers and appointment details so customers understand what they are booking. Confirm the booking process works on a phone.

Step 5: Track the appointment

When an appointment is created, your configured process can notify the team or start a follow-up workflow. Update the opportunity after the conversation so its stage reflects what happened. Keep cancellation and rescheduling instructions clear.

Step 6: Test the complete journey

Submit a test enquiry and book a test slot. Check the contact, opportunity, notification, booking and team ownership. Confirm that the test does not trigger messages to a real customer.

Systemly forms can create contacts and optionally open pipeline opportunities; its public calendars let customers book available times. Automations can respond to supported form and appointment events. Email, SMS and external calendar connections require appropriate setup. Read about forms, booking pages and automations.
